Are you an organized, detail-driven legal professional who keeps cases running smoothly behind the scenes?

Our elder abuse law firm is seeking a Litigation Secretary to support cases from intake through final resolution. In this role, you will prepare foundational case documents, manage filing and service, track liens, draft notices of motion and declarations, finalize court documents, and keep trial calendars and case administration on schedule.

This is an essential support role within our firm. The Litigation Secretary’s precision and follow-through ensure that every case is properly documented, deadlines are met, and nothing falls through the cracks from the moment a case opens to the moment it closes.

Key Responsibilities

  • Prepare fee agreements and set up new case files.
  • Track and manage liens throughout the life of a case, and finalize liens and costs at resolution.
  • Prepare Successor-In-Interest (SII) declarations, orders, and statements of damages.
  • Coordinate service of process on defendants.
  • Prepare case management conference (CMC) statements.
  • Prepare notices of motions and declarations.
  • Format and finalize all pleadings, e-file documents.
  • Perform all case calendaring, including discovery, motions, and trial.
  • Notify third parties of settlement and prepare notices of settlement.
  • Prepare dismissal documents at case resolution.

Qualifications

  • Prior experience as a legal secretary or litigation support professional, ideally in civil litigation.
  • Familiarity with California civil procedure, filing deadlines, and court calendaring.
  • Excellent organizational skills and follow-through on multi-step administrative processes.
  • Strong written communication and proofreading skills.
  • Ability to manage competing deadlines across multiple active cases.
  • Proficient in Microsoft Word and Outlook; Excel and case management software (e.g., Filevine) experience a plus.

What We’re Looking For

The ideal candidate is dependable and detail-oriented, someone who takes ownership of the administrative backbone of a case and makes sure deadlines, filings, and calendars never slip. You bring both precision and a sense of urgency to the paperwork that keeps litigation moving.

If you are a legal professional who takes pride in thorough, reliable case administration, we encourage you to apply.
